The Cromwell Land & Estate (a DBA of Ed Cromwell, an individual residing in Virginia) operates the website at cromwell-estate.vercel.app and provides rental property and property-management services in Hampton Roads, Virginia. This policy explains what information we collect, why, and how to control it.
What we collect
- Contact details you submit through the tenant opt-in form: full name, mobile phone number, optional email address, and which property you are tied to.
- Consent records for any opt-in to SMS or email communications, including the date and time of consent and the specific disclosure language shown to you at the time.
- Server logs from our hosting provider (Vercel), including IP address, user agent, and timestamp. These are retained briefly for security and abuse prevention.
How we use it
Information you submit through the tenant portal is used solely to deliver the service-related communications you opted into — rent reminders, maintenance coordination, lease updates, and similar property notifications. We do not use this information for marketing or promotional content.
SMS communications
The Cromwell Land & Estate collects mobile phone numbers from current tenants, prospective tenants, and property-management clients only when they explicitly opt in to receive text-message notifications.
What we send
Service-related messages only — rent reminders, maintenance scheduling, lease renewals, severe-weather and utility alerts. Approximately 2–4 messages per recipient per month. We do not send marketing or promotional content via SMS.
How we obtain consent
Either (a) by checking the consent box on the tenant opt-in form at /#tenant-portal, or (b) by signing the SMS addendum included with a lease. In both cases the consent is documented and retained.
How to opt out
Reply STOP to any message. Unsubscription is immediate. You may also email estate@edcromwell.com to be removed manually.
Carrier disclosure
Message and data rates may apply. Carriers (AT&T, T-Mobile, Verizon, etc.) are not liable for delayed or undelivered messages.
No third-party sharing
Phone numbers collected for SMS opt-in are never sold, rented, traded, or shared with third parties for their own marketing. We share data only with our SMS provider (Twilio) solely to deliver the messages you've opted into.
Data retention
Phone numbers and consent records are retained for the duration of the tenancy plus four years (the standard records-retention period for landlord-tenant matters in Virginia), or until you opt out — at which point only the opt-out flag is retained, for legal-compliance reasons.
Cookies
This site does not use tracking cookies. Vercel may set strictly necessary cookies for service delivery; no analytics, ads, or third-party trackers are loaded.
Your rights
You may request a copy of the personal data we hold about you, ask for it to be corrected, or ask for it to be deleted (subject to lease-related records-retention obligations). Email estate@edcromwell.com with the request and we will respond within 30 days.
